Updates about the 2023 medical student Listserv migration

Wednesday, June 28: We received the last nine changes expected from the database team, and adjusted the Listservs accordingly.

You should be getting Listserv messages appropriate to your class as reflected in the eValue student database. A couple of observations:

  • You may not see a lot of traffic on your Listservs, because there is not a lot of traffic on your Listservs – yet.

 

  • We will get messages from students who say they are not subscribed to a Listserv, when they are subscribed to a Listserv. The issue is that Outlook is not showing them the message. Before reporting a Listserv is ‘missing,’ please put the name of the Listserv into the Outlook search bar. For example, this is what it looks like to search for Medyr2ad in Outlook:

Most times, Outlook will then show you your messages.

But for sure, there could be an error in databases or spreadsheets. Or you might need to be on a different or additional Listserv than the one(s) in our records.

Once you’ve searched for at least the welcome message, if you still don’t seem to be subscribed to the Listserv you want to be on, let us know! Email medlistserv@uw.edu

Tuesday, June 27: We learned today that Walter made a mistake with one of the spreadsheets for the MS2 Seattle list, and so that Listserv wasn’t distributing emails. Many apologies for this. The md2Seattle list should be working now. 

We are still occasionally receiving updates from the main student database, in which case, we remove students from the apparently erroneous Listservs and seek to place them in the correct Listservs.

Friday, June 23: We have adjusted the lists some, mostly to eliminate ‘test’ accounts that are a legacy from the original database. We’ve also lifted moderation so if someone sends a message to the wrong group of people, we apologize in advance. If you don’t seem to be on the right list, please see the image below, or let us know at medlistserv@uw.edu

We have not yet migrated the new list to the student e-newsletter platform. The student e-newsletters, which come out on Thursday afternoons, are on a completely different platform. We anticipate that list will be updated by the issue of June 29.

Wednesday, June 21:

Walter has put moderation on all lists, right now, until we are sure faculty and staff have absorbed the change. We want to minimize the number of messages that go to the wrong group of people. Thank you so much for your patience! Moderation will be lifted after it’s clear most users understand that the list has changed from the last academic year to the upcoming academic year.

Tuesday, June 20: A total of 80 Excel spreadsheets and Notepad documents were created to come up with the final 22 mailing lists. We anticipate updating all 22 Listservs on the afternoon of Wednesday, June 21, starting at about 9 a.m. People should receive welcome notices as they’re added to lists – and then when it’s completed, we will email an update to faculty and staff, as well as the four main Listservs.

We expect to be fine-tuning the distribution through the first week of July, and then of course anytime someone needs an update after that!

Monday, June 19, 2023: We are awaiting a near-final list of first-year students, but the basic databases for all other student groups have been prepared. The plan as of today is to finish compiling and formatting databases Tuesday, and then on Wednesday perform several steps on the dashboard of each of the 22 Listservs, one by one. The admin listservs will be rolled over first.

Tuesday, June 13, 2023 update: Timeline sharpened for rollover

We now expect to be exporting updated lists from the current lists and from the updated student database eValue on Friday the 15th and Tuesday the 20th. So you should be able to send email to the current Listservs distro and have it go to the same people until Tuesday. The mailing lists may start changing Wednesday and Thursday. We will email when the rollover is complete.

June 5, 2023: Listserv distro lists will be updated later this month

The distribution lists for the medical student Listservs are scheduled to roll over June 19 to 23.  The communications office will seek to automatically subscribe students to the Listserv of the class in which they will be enrolled in the upcoming academic year – for example medyr3ad will be reaching this fall’s third-year students.
We know communications are important to you, and you are eager to be on the right lists. We will post live updates as Listservs are updated on the 2023 Listserv rollover updates page.
Students are required to be on the list that corresponds to their class.  AUX list membership is optional.
If it gets to be June 23 and you feel like you are not seeing messages you should be seeing, or you want to be added to a particular Listserv, we will provide contact information then.
The most common problem is that a student is getting Listserv information, but not seeing the messages in Outlook. Please put the name of the Listserv into the search bar of your Outlook before reporting that you’re not on a list.
