What happens with your feedback: Review and response process for the new Learning Environment Feedback Tracker

  1. Upon submission of a non-anonymous concern, students will receive a confirmation email, including a “ticket” number for tracking purposes, informing them the Incident Response & Oversight Committee (IROC) will review their concern.  
  2. Next, the IROC deans review and discuss the student’s submission in detail and then designate the responsible party to take action in response—typically, clerkship directors, department chairs, and foundations/clinical deans—and agree on a color rating that, along with the student’s preferences, determines the date the de-identified ticket will be released to them. Students then receive an email confirming completion of IROC’s review and the date the ticket will be released to the responsible party (‘ticket release date’) for action.  
  3. The responsible party determines the action(s) to be taken and, once completed, the student receives the final ‘Action Taken’ email update notifying them the ticket is closed.
