UW Course Applications
Adding & Making Changes to Courses
The University of Washington has and online system (Kuali) for curriculum management including approval of new course applications and course change applications. Anyone with a UW NetID can use Kuali to file new course applications or make modifications.
New course or course changes may also require formal approval by the School of Medicine. Review the School of Medicine New Clerkship and Site approval process to ensure all approvals are in place before submitting an application in Kuali.
Clerkships must gain final approval by the UW Curriculum Committee before students can be registered. This is the workflow for course approval by the University of Washington:
- Department completes a New Course or Course Change Application
- Department Chair (or designated approver) approves application
- School Of Medicine approves application at two levels:
- SOM Curriculum Committee*
- SOM Dean/VC
- Once approved by SOM application is reviewed by UW Curriculum Office on a rolling basis.
- When course is approved, the Submitter is notified.
*Not all new courses and course changes need approval at a SOM governance committee but do require approval via SOM Curriculum Office. A SOM-level Kuali review happens bi-weekly to review all applications.

Course Application Submission Deadlines
- Course applications are now administratively reviewed and recorded by UW Curriculum on a rolling basis throughout the calendar year.
- While applications will be reviewed on a rolling basis, there are priority submission dates and cut-off dates for courses to be effective specific quarters, based on when registration begins for those quarters. Please visit the UW Curriculum’s Course Application Submissions Deadlines link above.
New Course applications are submitted for any course not already in Kuali that does not have an established UW course number.

If you have an established course in Kuali that requires a curricular element change (i.e., any element that is noted in Kuali, see below), you will need to complete a Course Change Application. Review UW Course Change How-To Guide for instructions on making changes. Course Change applications are required to update:
- Updated course name (ex. updating from Group Health to Kaiser Permanente, primary site name changes)
- Change credits (ex. make a course variable credit or put a limit on the maximum credits a students can take the course for [ex. 4, max. 8])
- Add or drop prerequisites
- Change a course description
- Update learning objectives
- Retire a course that will no longer be offered
Check course information including official course name, credits, and prerequisites in the UW Course Catalog
- If a new course has been approved in Kuali the course must be entered into the UW Time Schedule. Find detailed instructions on this process at the UWSOM Clerkship Time Schedule page
- New clerkship is entered into eValue by Curriculum and any subsequent availability
- Department and Region (if applicable) ensure any Faculty Appointments are in process/in place for clerkship
- Department works with Academic Affairs to ensure Affiliation Agreements are in place.
