Week of August 15, 2025

Dear Students,

Summer in the WWAMI region is a wonderful time. I hope you are finding time to enjoy the outdoors! I also want to extend a warm welcome to our E25 students—I’m so excited you have joined our WWAMI-ly! It was wonderful meeting many of you during orientation.

As you may recall, last month you received a message from Dr. Dellit, Dr. Chiu, and me outlining our focused communication plan as we prepare for our upcoming medical school accreditation visit by the Liaison Committee on Medical Education (LCME) in March 2026.

This month, I want to highlight an important topic: your right to access your education records and grades.

If you need help finding who to contact, check out the Foundations contacts and brand new, Clinical Clerkship- ‘Who to Contact’ page.

Accessing your records: FERPA

Under the Family Educational Rights and Privacy Act (FERPA), a federal law, you have the right to review your education records within 45 days of submitting a request to the University.  You can read more about FERPA here: UW FERPA for Students

Where to find your grades

Foundations Phase:

  • Exams and final grades are available in Canvas.
  • Course and thread grades can be accessed through the Academic Affairs Data Mart (AADM).

(Note: Do you need help accessing AADM? If so, please reach out!

Clinical Phases:

  • Clerkship grades and evaluation comments are posted in E*Value, our clinical scheduling and evaluation system.
  • Final grade information can also be found in MyUW, the University’s secure student portal.

 Have questions about a grade?

If you have concerns about a grade, start by speaking with the appropriate director:

  • Foundations Phase: Course/block director
  • Clinical Phases: Clerkship director

They can help you review your performance and may consult with others involved in your evaluation.

Want to appeal a grade?

You may:

  1. Submit a grade petition to request a formal review.
  2. If the outcome is not satisfactory, you can submit a grade appeal petition to have your case reviewed by the Grade Appeal Committee, whose decision is final.

Learn more about the grade review and appeal process here.

If your concern relates to a learning environment issue, please contact the Learning Environment team before starting a grade review.

How to report learning environment issues:

  1. Contact Dr. Melinda Frank, Director of the Learning Environment: mmfrank@uw.edu | (206) 616-1816
  2. Submit feedback via aLERT, the Learning Environment Feedback Tool
  3. Include feedback in UWSOM course evaluations
  4. Speak with any UWSOM dean

UWSOM Policies

You can find MD Program Policies here, and they are also linked directly in your Canvas course pages.
