How to Submit a Workplace Based Assessment (WBA): A Quick Guide

This process should take just 2-3 minutes and can happen in real time during or at the end of a clerkship day.  It has led to some really terrific feedback conversations between you all and our students.  Here is a quick reminder on how to make these fun and quick!

1. Ask the student to do a WBA based on one of the usual activities students do (history taking, exam skills, etc.).  

Pro tip: Ask the student what activity they would like to be evaluated on today.

The student or preceptor can initiate the WBA submission using the student’s unique link or QR code to access the Qualtrics form.

2. Complete the Demographics Quickly

Confirm the student’s name, select the rotation and site of care, and enter the preceptor’s name and email.

3. Select and Rate the Activity

Choose one clinical activity to assess and rate the student’s performance using the 1-4 scoring option (entrustment scale)

4. Provide Brief Feedback (consider using a learner-centered approach where you ask them to assess their performance first)

Pro tip: Ask the student what they did well and what they are still working on. Provide any additional feedback. Dictate into your microphone on your phone or type in comments right then.

Write 1-2 sentences highlighting strengths and areas for improvement. You can also use the microphone icon on your device to dictate feedback.

5. Submit and Confirm

Submit the form. If the student submitted it, you will receive an email to review and confirm the assessment. If you submit the form you will also get an email and can use your comments (copy and paste) if you want on your E-value evaluation form too.
