7.4 Registrar Drop (Formerly Course Withdrawal) Policy

Policy Statement

A Registrar Drop (previously referred to as a withdrawal) from a block/clerkship may be permitted in the event of illness or personal/family circumstances. Students must consult with the Associate Dean for Student Affairs for approval. If a Registrar Drop is approved, it is recorded by the Office of the University Registrar, University of Washington. Students are not permitted a Registrar Drop to avoid failing a block or clerkship.

Former Quarter Drop (previously Hardship Withdrawal) – Students must contact the School of Medicine Associate Dean for Student Affairs.

Requirements, Procedures and Guidelines

Foundations Phase Curriculum

Starting in Autumn 2020, the student will receive a grade designation of “RD (Registrar Drop)” on their transcript, when dropping a course between the third and seventh weeks of the curriculum.

Students in the Foundations phase of the curriculum may drop one Non-Clinical elective per quarter between the third and seventh weeks of the quarter. Students at the Seattle and Spokane campuses should drop via MyUW, in keeping with the Current Quarter Drop policy. Additional drops of non-clinical electives must be dropped via the Current Quarter Drop – Advisor Assisted Drop process.

Students at the Wyoming, Alaska, Montana and Idaho campuses should notify their local Foundations site Administrator with any drop requests.

Students may not drop themselves from required coursework without permission from the Associate Dean for Student Affairs.

Clinical Phases Curriculum

E*Value schedules are not directly linked with the main University of Washington registration system. Students are registered for CONJ 699: P-CLIN CLERKSHIPS—a “holding” course based on the number of credits scheduled in E*Value. Students should not adjust their CONJ 699 registration in the MyUW. 

 Because students are registered for a holding course (CONJ 699) with the University rather than individual clerkships, they cannot drop individual clerkships (courses) with the University. The University Registrar drop process may apply or be permitted in the event of illness or personal/family circumstances. Students must consult with the Associate Dean for Student Affairs for .

The Registrar Drop may have an impact on funding and/or student statusAn annotation of RD for Registrar Drop will appear on the transcript. The credits associated with the RD dropped class(es) will not appear on the transcript, but the class abbreviation, class number, and the annotation RD will appear and cannot be removed.

Effective in Autumn 2020:

First week of the quarter: CONJ 699: P-CLIN CLERKSHIPS (all clerkships for a given quarter) may be dropped without restriction from the first day of quarter through the 7th calendar day of the quarter. No record of the dropped course(s) will be recorded on the transcript; however, a quarter drop statement will appear.

Second week of the quarter: This period is from the 8th calendar day of the quarter through the 14th calendar day of the quarter. CONJ 699 may be dropped without restriction during this period. No record of the dropped course(s) will be recorded on the transcript, however, a quarter drop statement will appear. There is a $20 Change of Registration Fee charged for all registration changes made on a single day during this period. A tuition forfeiture may be charged.
