Learning Environment Feedback Tracker

As of May 2025, medical students submitting non-anonymous learning environment concerns via eValue evaluations and/or the ‘aLERT’ learning environment reporting tool receive emailed status updates; those who used their UW Net ID can track status via the new online Tracker (example below).

The Review Process:
  1. Upon submission of a non-anonymous concern, students receive a confirmation email, including a “ticket” number for tracking purposes, informing them the Incident Response & Oversight Committee (IROC), a small group of deans from student affairs and curriculum, will review their concern.
  2. Next, the IROC deans review and discuss the student’s submission in detail and then designate the responsible party to take action in response—typically, clerkship directors, department chairs, and foundations/clinical deans—and agree on a color rating that, along with the student’s preferences, determines the date the de-identified ticket will be released to the responsible party.
  3. Students then receive an email confirming completion of IROC’s review and the date the ticket will be released to the responsible party (‘ticket release date’) for action.
  4. The responsible party determines the action(s) to be taken and, once completed, the student receives the final ‘Action Taken’ email update notifying them the ticket is closed.
Should you have any questions about the Tracker or any tickets assigned to you as the responsible party, please do not hesitate to reach out to the Learning Environment team at somle@uw.edu or visit our website.
